You can send email templates to multiple contacts at once. This feature is particularly useful if, for example, you would like to compose a sales email once, then simply select the relevant contacts you want it sent to and let SharePortals fill in the appropriate details, e.g. including that user’s full name etc.

Creating a Template

  • From your SharePortals home page, click the Templates dropdown and select Manage Emails:

  • You will see your list of email templates. If you’ve already created an email template you would like to use, Otherwise, click the New Email Template:

  • Fill out the mandatory fields to name the template, provide a description of it for other SharePortals users in your organisation, and set the subject line of the email. Select the Contacts option from the Container dropdown:

  • Now enter the text of the bulk email you would like to send. SharePortals provides field placeholders that you can insert into your bulk email text, which will be replaced with the relevant information for each user the bulk email is sent to. As an example, we will add in a personal hello message using a placeholder in this particular email template. Type “Hello “ (followed by a space), then click the Insert Field button and select Full Name. The text window should now look like this:

  • Click the Save button. Now your email template list includes the new template:

  • You can edit an email template by clicking on its name in the list, or clicking the pencil icon on the right hand side of the template. You can also edit, duplicate, or delete an email template by clicking on the ellipses icon at the far right side of the template in the list:

Using an Email Template to Send Bulk Emails

  • Click on the Contacts top menu item to view a list of your organisation’s contacts.
  • Using the checkboxes next to each contact name, select at least two contacts in your list.
  • You will now see the Actions button in the top-right corner of the contacts list:

  • Click on it, then choose Email Selected:

  • This will display a window with a dropdown menu allowing you to pick an email template to use. Select the email template you would like to send to the selected contacts, then click Send.

Each selected contact will receive the email you have chosen, with the field placeholders swapped out for the recipient’s own personal details.
